UK business travel visa rules, regulations and applications – explained.
Updated 3 February 2026
What people call a UK business travel visa is usually the Standard Visitor Visa. But the UK just made things more complicated.
The UK has changed its border system, starting 25 February 2026, which means most visitors now need permission before they travel. This includes people from America, the EU, and Canada. In short, while once you could turn up at the border with a passport, there is now an extra step – the Electronic Travel Authorisation (ETA).
Business travellers are required to hold either the Standard Visitor Visa or the ETA, depending on their nationality.
Here’s what you need to know.
Do You Need a UK Visa for Business Travel? The 2026 Digital Border
Since 25 February 2026, anyone visiting the UK for business needs digital approval. There are no exceptions, aside from British nationals and dual nationals.
If you’re from America, Canada, Australia, or the EU, you need an ETA – an Electronic Travel Authorisation – which costs £16 and lasts two years. You apply online. Most people get approved in minutes.
If you’re from India, China, or another country that requires a visa to enter the UK, you still need a UK business travel visa, also called the Standard Visitor Visa. It costs £115 and lasts six months.
Airlines check this before you board – and no ETA or visa means no flight.
| Traveller Type | Requirement | Cost | Validity |
| Non-Visa Nationals (US, EU, etc.) | ETA | £16 | 2 Years / Multiple Entry |
| Visa Nationals | Standard Visitor Visa | £127 | 6 Months |
Allowed Business Activities: Home Office Requirements
Not all business activity is allowed on a business travel visa. The Home Office draws a fine line between visiting and working. Cross it, and your employee is in the country illegally.
What you can do:
- Attend meetings, conferences, and interviews.
- Negotiate and sign contracts.
- Conduct site visits and inspections.
- Provide internal training or troubleshooting within your own company’s UK branch.
- Install or service equipment your company sold to a UK business.
What you cannot do:
- Fill a role at a UK company, paid or unpaid.
- Sell directly to the public.
- Do a work placement or internship.
The difference matters. If you send someone to work with a UK client on a contract your company has with that client, that’ll likely be considered work, with a few notable exceptions. Check instantly by plugging in your unique situation into our AI-powered tool.
Eligibility Requirements for the UK Business Travel Visa
The Home Office looks for proof you’re a genuine visitor. That means three things.
- One: You have enough money to support yourself without working or using public funds.
- Two: You plan to leave the UK at the end of your visit. They want to see ties to your home country. Employment letter. Property ownership. Family.
- Three: You have a clear reason for the trip. A vague reference to ‘business meetings’ won’t work. They want specifics. Quarterly board review. Client presentation. Equipment installation.
Documents that help:
- Invitation letter from the UK organisation, stating purpose and dates.
- Letter from your employer confirming your role and salary.
- Travel itinerary and hotel bookings.
- Bank statements showing regular income, not a sudden deposit.
The bank statement detail matters. If someone deposits £10,000 two weeks before applying, that’s a red flag. The money needs to match their stated salary over time.
Step-by-Step Application Process
Step 1: Determine which route
Check the nationality. ETA or visa? Use the official GOV.uk tool to confirm.
Step 2: Apply online
Go to GOV.UK. Not a third-party site. Create an account. Fill in the form. Upload supporting documents.
Step 3: Book biometrics
If applying for a Standard Visitor Visa, you need to give fingerprints and a photo at a Visa Application Centre.
Step 4: Get your eVisa
By the end of 2026, all visas will be digital. That means no sticker in your passport. The approval goes into a UKVI account. You get a share code to prove your status.
Keep the UKVI account updated with current passport details because if you change your passport without updating the account, the airline won’t let you board.
Fees and Processing Times in 2026
| Fee Component | Amount | Note |
| Standard Visitor Visa (6m) | £127 | Per application for visa nationals. |
| ETA Application | £16 | For non-visa nationals (US/EU/etc). |
| Service Supplier Visa | £319 | Plus £1,035/year Health Surcharge. |
| Priority Processing (5 days) | £500 | Optional surcharge for urgent travel. |
| Super Priority (Next day) | £1,000 | Optional surcharge for next-day decisions. |
Frequent Traveller Options: Long-Term Visas
If your employee visits the UK multiple times a year, a longer visa saves time and money and a compliance headache.
- The two-year visa costs £432. That’s a better value than three separate six-month visas at £127 each.
- The ten-year visa costs £963, which is even better value, particularly for senior executives who travel regularly.
Important: Even with a ten-year visa, you cannot stay longer than six months at a time. Try to live in the UK on a UK business travel visa, and you risk a ban.
Common Pitfalls and How to Avoid Rejection
Vague meeting descriptions
Don’t write ‘business meetings’. Write ‘Q1 board review’ or ‘finalising merger terms with XYZ Ltd’. Make things as specific as possible, leaving no room for doubt.
Inconsistent evidence
Bank statements must match the stated salary. If you earn £3,000 a month, the statements should show that coming in regularly. A one-off £10,000 deposit looks wrong and immediately triggers a red flag.
Tax implications
Spend 183 days in the UK in a tax year, and you become a UK tax resident even if you’re on a visitor visa.
Spend more than 60 workdays in the UK, and your UK entity might need to operate a shadow payroll. Talk to a tax adviser before sending someone for extended visits.
Passport renewal trap
Get a new passport, and your ETA becomes invalid. You need to apply again before your next trip. Same with eVisas. Update the UKVI account with new passport details, or the airline will deny boarding.

Frequently Asked Questions
Can I switch to a Work Visa while in the UK on a Business Visitor Visa?
No. You must leave the UK and apply from outside the country.
How long is the ETA valid for?
Two years or until the passport expires, whichever comes first.
Do I need a visa for a one-day conference?
It depends on your nationality. Americans need an ETA. Indians need a visa. Regardless, permission is always required.
What if my employee has dual British nationality?
They must travel on a UK passport or get a Certificate of Entitlement. Airlines won’t board them on a foreign passport without proof of British status. They can’t get an ETA because they’re British.
Can I apply for priority processing?
Yes. Five-day priority costs £500. Next-day super priority costs £1,000. Worth it for urgent trips.
